Payment Failure Notification and Task Creation

A failed payment from Stripe immediately notifies the team, creates a follow-up task, and starts a bounded dunning nudge to the customer so failed charges get worked instead of quietly lapsing.

Outcome signals

These are the real outcome statements attached to this HMX case study.

Instant
team alerted the moment a payment fails
Worked
every failure becomes an owned follow-up task
Self-closing
recovered payments stop the sequence automatically
Bounded
capped retries then human escalation, no spam loop

Problem

The operating gap

When a card fails or a subscription payment bounces, it often goes unnoticed until revenue is already lost. There's no automatic alert, no task to chase it, and no consistent customer nudge, so failed payments turn into silent churn.

Build

What gets built

A Stripe webhook on payment_intent.payment_failed and invoice.payment_failed is signature-verified and deduped by event ID, then creates a follow-up task on the right owner and posts an internal alert with the customer, amount, and failure reason. A bounded customer-facing sequence sends an update-card reminder with a capped number of retries that respects Stripe's own retry schedule; if payment recovers, the flow stops and closes the task automatically. Unrecoverable cases escalate to a human after the cap.

Build steps

Payment Failure Notification and Task Creation uses an event-driven automation layer for AI Automation. A failed payment from Stripe immediately notifies the team, creates a follow-up task, and starts a bounded dunning nudge to the customer so failed... The architecture connects subscribe to payment_intent, stripe webhooks, n8n, and owner alert with an explicit control path.

  1. 01Subscribe to payment_intent.payment_failed and invoice.payment_failed; verify signatures
  2. 02Dedupe by Stripe event ID before acting
  3. 03Create an owner follow-up task and post an internal alert with the failure reason
  4. 04Send the customer a capped update-card reminder sequence
  5. 05Stop and auto-close the task if payment recovers
  6. 06Escalate to a human after the retry cap for unrecoverable cases
